Receipts In Order ("we", "us", "our") is a company incorporated in Scotland.

We act as the data controller for the purposes of UK GDPR.

2. Acceptance of These Terms
By creating an account, accessing, or using the Receipts In Order platform ("Service"), you agree to be bound by these Terms and Conditions ("Terms"). If you do not agree, you must not use the Service.
3. Eligibility and Account Access
3.1 OAuth-Only Login
Access to the Service is available only via Google OAuth or Apple Sign-In.
We do not support username/password authentication.
3.2 Permissions Requested
We request email address only, for:
- Account identification
- Service communications
- Security notifications
We do not request access to contacts, calendars, files, or other personal data from OAuth providers.
4. Description of the Service
Receipts In Order allows users to:
- Submit receipts and invoices via email forwarding, upload, or mobile scanning
- Extract structured data using OCR and language models
- Review, correct, and export processed data
- Optionally enable integrations or automated forwarding rules
The Service does not provide accounting, tax, or legal advice.
5. Data Minimisation and Prohibited Data
5.1 Data Minimisation
The Service is designed to minimise personal and financial data processed.
We do not intentionally collect or process:
- Bank account numbers
- Card numbers
- CVV/security codes
- Full payment credentials
Document identifiers are limited to receipt or invoice reference numbers only.
5.2 User Responsibility
You must not upload documents that contain sensitive personal data unless strictly necessary for your business purposes and lawful to process.
6. Usage Limits and Fair Use
6.1 Plan Limits
Your subscription plan may include limits on:
- Number of receipts processed
- Storage volume
- Processing frequency
6.2 Enforcement
If limits are reached:
- Processing may pause
- New uploads may still be accepted but queued
- Exports and integrations may be restricted
We are not liable for delays caused by exceeded limits.
7. Billing, Payments, and Refunds
7.1 Billing
Payments are processed via Stripe. Prices, billing cycles, and applicable taxes are displayed at checkout.
7.2 Refunds
- Refunds are manual and discretionary
- There is no automatic cooling-off period
- Usage already consumed may not be refundable
To request a refund, contact support.
8. Account Deletion
You may request account deletion at any time via the dashboard or by contacting support.
Upon deletion:
- Access to the Service is revoked
- Data handling follows our retention policy (see Privacy Policy)
- Certain records may be retained where legally required
9. User Content and Licence
You retain ownership of all documents and data you upload.
You grant us a limited, non-exclusive licence to:
- Process, store, and transform your data
- Provide the Service functionality you request
This licence ends when your data is deleted in accordance with our retention policy.
10. Sub-Processors and Third Parties
We use trusted sub-processors, including but not limited to:
- Hosting and databases (DigitalOcean)
- Object storage (DigitalOcean Spaces)
- Email ingestion (AWS)
- Payments (Stripe)
- Authentication (Google, Apple)
- OCR and language model providers (Mistral, OpenAI, Google Gemini)
- Gmail API (only if you enable forwarding features)
These providers process data only to deliver the Service.
11. Availability and Changes
We aim to provide reliable service but do not guarantee uninterrupted availability.
We may modify or discontinue features, apply maintenance windows, and update these Terms with reasonable notice.
12. Limitation of Liability
To the maximum extent permitted by law:
- The Service is provided "as is".
- We are not liable for indirect, consequential, or economic losses.
- Our total liability is limited to the fees paid by you in the preceding 12 months.
Nothing in these Terms limits liability for fraud, death, or personal injury caused by negligence.
13. Termination
We may suspend or terminate access if:
- These Terms are breached
- The Service is misused or abused
- Required by law or regulation
14. Governing Law and Jurisdiction
These Terms are governed by Scots law. The Scottish courts have exclusive jurisdiction, subject to mandatory consumer protections.
